Administrative Assistant - The Cancer Project

The Cancer Project (TCP) is seeking an Administrative Assistant to provide secretarial and administrative support to TCP’s staff, programs, and events.

Primary Areas of Responsibility and Specific Duties

  • General Administrative Support

    • Responsible for supporting The Cancer Project in an administrative capacity:

      • Answering phones

      • Scheduling meetings

      • Copying/printing

      • Maintaining contacts and calendars

      • Maintaining office files, etc.

  • Data entry

    • Enters survey data

    • Enters names from conferences for mail merge letters

  • Mail and Correspondence

    • Opens and reviews incoming mail and general e-mail, which may include donations, class feedback forms, or instructor application submissions

    • Routes information to the correct person or fulfills requests directly

    • Drafts and sends correspondence such as mail-merged event follow-up letters

    • Prepares packages to high-profile cancer victims/survivors, and other direct mail

  • Fulfillment

    • Works with shipping department to package and send event supplies, instructor supplies, direct mailings, etc. 

    • Answers general questions via e-mail correspondence

  • Accounting-Related

    • Prepares expense reports for staff and manages receipts and reports of VISA charges

    • Prepares and sends venue invoices as needed

  • Miscellaneous

    • Checks The Cancer Project Web site on a scheduled intermittent basis to ensure links are working and up-to-date

    • Researches and maintains list of cancer conferences, and puts abstract submission deadlines and other needed submission info on the Cancer Project outlook calendar

    • Assists team with requests to other organizations for link exchanges
    • Maintains standard operating procedures for primary areas of responsibility

    • Other duties as needed or assigned

Required Education, Experience, and Skills

  • Education

    • High school diploma or equivalent required

    • Bachelor’s degree preferred

  • Experience

    • Minimum of one year of office experience

  • Skills

    • Excellent written and verbal communication skills including an excellent phone manner

    • Proficient use of Microsoft Office Suite, including data entry and use of the Internet and search engines

    • Ability to handle multiple tasks, work well in a very fast-paced environment, meet deadlines, and summarize key issues and activities

    • Ability to develop solutions to any identified problems

    • Resourceful, assertive, and detail-oriented

    • Professional skills, demeanor, and work ethic

    • Must maintain a sense of urgency, efficiency, and flexibility

    • Ability to articulate and advocate The Cancer Project’s mission

  • Other

    • Enthusiasm for The Cancer Project’s mission

    • Ability and willingness to travel to related seminars, conferences, training, meetings, etc.

    • Interest in developing new competencies as needed for the responsibilities of the position

    • Ability and willingness to work evenings and weekends as needed

Terms of employment: Full-time opportunity located in TCP’s Washington, D.C., office (Friendship Heights neighborhood/metro).
